POLICY
Prior to any event that is booked with Alaia Events, the client must agree sign the contract in which they agree to Alaia Event’s Terms & Conditions. A copy of these Terms & Conditions can be found below.
TERMS AND CONDITIONS
1. PRICE
​
1.1 It is responsibility of the Client or the representative confirming the booking to inform all payment terms, as set out by Alaia Events.
​
1.2 All prices quoted by Alaia Events may be amended when agreed with the Client. The client will reasonably consider any errors or increase caused by a change in the circumstances beyond the reasonable control of Alaia Events.
1.3 Any query must be notified to Alaia Events by the Client within 7 working days of the date of planning. Failure to comply means it’s final.

2. PAYMENT

2.1 The work will begin only after the client pays the initial payment amount.
​
2.2 Deposit / Down Payment – A reservation payment and a deposit of 50% of the total contract as quoted and agreed in the written proposal of the event. The remaining 50% shall be known as the “balance”.
​
2.3 The client can pay the remainder in smaller installment during the planning phase.
2.4 Balance Due – Full payment to secure the event is due no later than 14 days prior to the event date.
​
2.5 Alaia Event reserves the right to cancel the event if payment has not been received in full.
​
2.6 Additional Expenses – any additional expenses or fees resulting from any changes made by the Client that have not been quoted in the agreed proposal will be invoiced separately.
3. CHANGING
​
3.1 Changing Dates: Every effort will be made to change the event date when requested, although Alaia Event reserves the right to charge. The charge may be higher when it has not been possible to cancel suppliers or venues. No change may be made within 30 days of the event.
3.2 Changing the Number of Attendees: A reduction in the number of attendees does not apply a refund and never within 30 days of the event. If numbers are reduced more than 30 days before the event, then every effort will be made to save the costs such as catering, etc.

How early should I book my event?

It depends on the type of the event and the availability of the venue and suppliers. The earlier the better so you can reserve your date already.

4. CANCELLATION ​
​
4.1 Types of Cancellation:
​
a. The client cancels the entire event,
b. The client cancels partial use of the facilities or suppliers, etc.
d. Cancellation of the planner or Alaia Events
​
4.2 All cancellations must be received in letter from the client addressing the reasons and issues.
4.3 The cancellation applies to the following:
​
a. Cancellation charges will apply and extend to the total charge of pre-booked for venue and suppliers.
​​​
b. If the client cancelled before the organizing starts, a full refund will be given. Organizing starts from communicating with the suppliers.
​
c. If the client cancelled in the mid of organizing event, service charges, money that already spent are non-refundable. (Subject to change depends on terms and conditions of suppliers)
​
d. Alaia Event reserves the right to cancel the client’s booking if there has been a change of more than 50% of the client’s original contract. Written notification will be sent to the client.
​
e. Alaia Event reserves the right to cancel if there are emergencies scenarios such as a supplier backed out, unexpected health emergency, unreasonable last-minute requests, lacking staff members etc. That case, we can find a replacement and refund the money depends on supplier conditions.
​
f. Any postponements of confirmed and contracted business will be considered as a cancellation in accordance with the above cancellation policies. The client shall be liable for any and all costs or expenses of the postponement.
4. TERMINATION
​
4.1 Termination pertains to cancellation due to unforeseeable events that are beyond either party’s control. This may include weather-related incidents; government implementation, pandemic, disaster, etc. These scenarios where neither party can be held liable.
​
a. The Alaia Events is not liable for any damage that has cause.
b. The Alaia Events will not spend money for any damage that has cause.

5. LIABILITY
​
5. 1 All guests are fully supervised throughout the event given with the precautions. Alaia Event is not responsible for negligence of the attendees.
​
5.2 Alaia Event is not liable for any damages, injuries, losses or delay that occur due to client and attendees actions.
​
5.3 Food and Beverage - Given all the menus, ingredients, Alaia Events is not responsible for food allergies of the attendees.
​
5.4 Alaia Event may refuse participation to guests who are believed to be under the influence of drugs or alcohol. No refund will be made in such circumstances.
​
5.5 The client recognizes the authority of the Alaia Event’s manager and coordinators understanding that they may take any decision they regard as necessary to ensure the health, welfare and safety of those taking part in the event.
​
5.6 Alaia Event reserves the right to substitute an equipment, activities or handler due to failure or any circumstances beyond its reasonable control.
​
5.7 Alaia Events may postpone the event where forces outside of the company’s control such as bad weather, acts of terrorism or other circumstance which impact the running of the event.
​
5.8 Weather forecast; Alaia Events will use extra tents, move activities indoors if possible or an alternative date will be arranged.
6. COPYRIGHT AND ITELLECTUAL PROPERTY
​
6.1 The client acknowledges that Alaia Events have the rights and intellectual property in the work we do for you. Any used design concepts will remain our property and can be used for other clients in the future.
​
6.2 The client gives the Alaia Events permission to use photos and videos taken on behalf of the customer for documentation and promotional purpose. Where the customer has paid for photography, Alaia Events gives the customer permission to use such images freely.
​
6.3 Watermarks and logos are agreed on the photo and video release.
​
6.4 You must notify us prior to the beginning of the project if you wish to be supplied with original files (in use of the creation of graphic design and artwork). Additional fee may apply.

7. GOVERNING LAW
​
​
7.1 These Terms and Conditions shall be governed by and construed in accordance with the law of The Philippines.
​
7.2 This Agreement contains the entire agreement between the parties relating to the subject matter of any agreements, arrangements, undertakings, proposals, oral or written. Unless expressly provided elsewhere in this Agreement, this Agreement may be varied only by a document signed by both parties.
